Compensation:   Grade 8 

Time Demands/Schedule 40 hour/12 month

Overview of the Position:  

The Administrative Assistant to the Superintendent will provide skilled administrative support work in assisting the Superintendent of Smith Vocational and Agricultural High School to discharge the duties of the office; maintain a high level of confidentiality; have the ability to focus quickly on a multitude of tasks daily; and all other related work as required and assigned.

Primary Functions:  

  • Work under the general direction of the Superintendent following Massachusetts General Laws, regulations and policies, requiring the ability to plan and perform operations and to complete assigned tasks according to a prescribed time schedule.
  • Performs a variety of responsible administrative support duties which require the exercise of judgment, confidentiality and initiative in situations not clearly defined by established procedures.
  • Serves as the primary liaison between the Superintendent, School staff, city offices, and the public; relays and obtains information as required
  • Frequently contacts the public, local and state offices, other city departments, the State Department of Education as well as a variety of local organizations.
  • Accesses department-related confidential information, including personnel and personal information about students, teachers, staff and administration.
  • Maintains personnel files for faculty, staff and administration.
  • Assists with school-wide federal and state reporting, compiles information from Guidance, Special Services and the Principal for a variety of federal and state reports and compiles and prepares federal and state grants including, but not limited to, end of year EPIMS, Oct 1 EPIMS, January 1st School Attending Children Report requests, CRDC report, etc.
  • Prepares and sends non-resident tuition forms to applicants using the Student Information System program.
  • Work collaboratively with other administrators maintaining the mission of the school and maintaining progress in reaching the school's improvement plan goals.
  • Maintains Superintendent's calendar, schedules appointments. Receives and screens telephone calls, correspondence and visitors and refers to appropriate staff. Prepares and types correspondence, reports, and confidential information. Researches information for use in responding to inquiries, maintains departmental files and records.
  • Periodically maintain the school website with content updates.
  • Additional administrative support duties as assigned by the Smith Vocational and Agricultural High School Superintendent

Education/Formal Training Required:

Minimum Associate degree in business, accounting or a related field preferred; Five (5) years of experience in personnel, executive administrative assistant or business field required; experience in public school or municipal sector preferred; or any equivalent combination of education and experience.

Knowledge and Skills Required:

  • Thorough knowledge of office practices and procedures, computer software applications, working knowledge of department operations and functions.
  • Knowledge of Massachusetts General Laws. 
  • Experience with website maintenance and managing social media accounts is strongly preferred
  • Ability to keep accurate and detailed records.  Ability to work with the public and other agencies requiring patience and tact.  Ability to operate various types of office equipment.  
  • Ability to communicate effectively, both orally and in writing.
  • Skill in computer software and data entry including, but not limited to, Google, Excel, word processing, and email.

Equipment Used:

General office equipment including computers, copiers, phone system, calculators, projectors.

Physical Demands (if applicable):

Minimal physical effort is required to perform duties under typical office conditions.  Ability to operate a computer.

Evaluation Schedule:

Performance of this job will be evaluated by the Superintendent in accordance with state regulations.
