Center for Responsive Schools, Inc., developer of the Responsive Classroom® approach to teaching, seeks a full-time Office Assistant to join its Program Sales and Customer Care Department. We are a thriving nonprofit and our mission is to partner with schools to provide a high-quality education for every child, every day, and our staff collaborates to accomplish this mission.
The department office assistant is responsible for carrying out tasks related to the logistics of ensuring that our advertised and contractual workshops are successful. Such tasks include the shipping and organization of materials for Responsive Classroom workshops in the RC Shipping Center, invoicing resource books that are part of our workshops, processing certificates for participants at our workshops, and supporting advertised events logistics. This position also provides data entry and clerical support to all other functions of the Program Sales and Customer Care department.
Ordering and Shipping Workshop Materials:
• With autonomy, packs and ships workshop materials from the RC Shipping Center and receives all return shipments using UPS.com and Microsoft Office programs
• Enters shipment tracking information for workshop shipments made from the RC Shipping Center and the CRS warehouse into the shipping database
• Processes invoices for resource books and contractual library books and files
• Maintains department filing system
• Enters contractual orders in the accounting data base, AccPac
• Maintains organization of all workshop materials in the RC Shipping Center
• Monitors and communicates inventory of materials housed in the RC Shipping Center to supervisor
• Assists with yearly inventory of materials and products in the RC Shipping Center

Advertised Events Support:
• Coordinate appointments and scheduling of events on the department calendar
• Creates and updates advertised event offerings in CRM
• Help to document activities prior to and during the events for internal and external communications and on-going improvements
• Prepares nametags, materials, certificates, and registration list for advertised events

Customer Care:
• Responds to customer requests for reprints of workshop certificates and ensures they get to the customer in a timely manner
• Receives and processes contractual registration forms, entering data in CRM and sending certificates to customer
• Develops and maintains familiarity with all CRS workshop materials to ensure proper packaging and shipping for workshops
• Picks up and delivers mail at Post Office, opens, and distributes the mail within CRS
• Other tasks as assigned by supervisor necessary to meet workflow requirements
