Description:
Amherst College invites applications for the Administrative Assistant position. The administrative assistant is a 20 hour per week, year round casual position without benefits. Under the direction of the Office Manager and Director, the part-time administrative assistant provides administrative support for the daily operation of the Counseling Center's Scott House and Hitchcock House locations. Interfaces with students, Counseling Center therapists and psychiatrists, members of the campus community, and off-campus providers to ensure smooth and efficient operation of the office. With a high level of discretion and confidentiality as well as sensitivity, assists students who may be in distress and are in immediate need of the services of the Counseling Center. Takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Work schedule: Generally Monday through Friday, 10:00 am-2:00 pm. Schedule may vary during school holidays (Thanksgiving, winter and spring breaks, etc). Additional hours may be available when other administrative staff are on vacation, sick, etc.

Key Responsibilities

Reception
• Work at the reception desk welcoming clients, answering the telephone.

Administrative Duties
• Manage the appointment calendar for the Counseling Center staff, and responding to student and staff requests.
• Copy, fax, scan and file documents
• Check students in for appointments, and assist them with electronic forms at every appointment.
• Assist Office Manager and administrative assistant with projects as needed.
Requirements:
QUALIFICATIONS

Required
• High school diploma or equivalent
• 1 year administrative/receptionist experience
• Word processing and data entry skills
• Proficiency in MS Outlook and Word
• Able to learn database, and technology tools and concepts including electronic health record software
• Outstanding customer service skills
• Strong organizational, time management, interpersonal, and written and verbal communication skills
• Ability to multi-task and function well in a fast paced environment
• Attention to detail

Preferred
• Associates Degree
• Proficient in MS Excel
