Description:
The Collaborative for Education Services (CES) is looking for a highly organized and personable Administrative Assistant to join our North Berkshire Academy in North Adams, MA. This individual will be responsible for a wide range of essential, highly confidential administrative tasks to help support our mission to foster educational excellence and opportunity for all learners through collaboration, and leadership. Our ideal candidate will have excellent written and verbal communication, exceptional organizational skills, and the ability to multi-task. Department: North Berkshire Academy
Title: Administrative Assistant
FLSA Status: Non-Exempt
Reports to: Program Director

Purpose: The Administrative Assistant is responsible for a wide range of administrative, highly confidential tasks that are critical to the successful operation of the North Berkshire Academy and its programs.

Essential Functions:
- Organize and prioritize all incoming/outgoing mail, messages, and memos by handling routine matters according to protocol established within the department
- Insure the confidentiality of all student and staff records and correspondence
- Maintain the staff and student databases in an organized fashion, insuring the ability to provide up-to-date information at all times
- Assist in the coordination of the student report system to meet deadlines and monitor quality of reports
- Coordinate various meetings and phone calls, as needed
- Inventory and purchase office supplies
- Maintain updated records of correspondence, memoranda, budget requests etc.
- Receive and log purchase requisitions
- Collect and log time sheets for personnel in programs
- Maintain a professional, and efficient working environment

Additional Responsibilities:
- Assemble materials for screenings, staff meetings, and other meetings/tours
- Work collaboratively as part of various teams with other departments, such as: Business Office, Human Resources, and Professional Development
- Assume additional responsibilities as assigned by the Program Director or designee

Minimum Qualifications:
- 1 year of relevant administrative experience
- Exceptional organizational skills
- Ability to multi-task
- Excellent written and verbal communication
- Ability to maintain strict confidentiality
- Highly personable, finds success with a variety of personality types
- Ability to use a multi-line telephone
- Proficient in Microsoft Office and Google Suite

Preferred Qualifications:
- Demonstrated success at taking minutes and transcribing dictation
- Experienced in maintaining a positive and professional attitude even when under stress


Physical Demands:
- Requires physical condition and mental stamina to endure job stress in the performance of duties, as well as periods of sitting or standing
- Able to remain seated at a computer for long periods of time
- Able to lift and/or move packages up to 40 lbs.

Work Conditions:
- Ability to work productively with frequent interruptions and competing demands

Terms of Employment:
- Full time, year-round position
- 35 hours/week, Monday – Friday
