Job Description
Each Programs Team Assistant (PTA) will assist a team of Program Coordinators with application processing, transcript processing, and student enrollment for a specific group of programs. Each PTA will have a Programs Manager for their direct supervisor. A successful candidate will be able to work effectively as a member of the team, should be able to take direction well, and should possess strong organizational skills.

Responsibilities:

Application Processing
o Processing specific incoming application and application pieces for programs in the region
o Creating and maintaining physical student files when necessary
o Creating and maintaining electronic student files (manual data entry, scanning, organizing)
o Communicating with applicants regarding submission of application pieces

Administrative Tasks
o Filing
o Mailings
o Copying - checks, applications, and academic documents
o Scanning - applications and university-specific paperwork; transcripts; reference docs for shared files
o Compilation, verification, data entry, and tracking of student materials in HQ database – transcripts, insurance forms, flight information, health forms, etc.
o Payment verification and entry of payment details into student accounts
o Transcript processing - mailing original to US institution (with grade translation); e-mailing copy to student

Applicant Advising
o Making calls to students (acceptance, campaigns, requesting materials, etc)
o Updating and maintaining information in the student-facing pre-program orientation website
o Generating and sending acceptance packets
o Answering the phone and directing calls to appropriate staff members
o Answering student phone calls and emails to assist with questions and concerns
o Reviewing a team-wide email address and forwarding these emails to appropriate staff members
o Monitoring, generating, and participating in discussions on Facebook

Other Duties
o Providing a clear, ongoing account of progress on administrative tasks and project assignments to Program Coordinator
o Assisting with training on the programs in the region for CISabroad staff
o Checking and updating marketing materials, including the CISabroad website
o Maintaining current program materials within program documents, handbooks, and webinar slides
o Creating and maintaining “Standard Operating Procedures” for all tasks performed
o Assisting with the dissemination and review of program evaluations

Preferred Qualifications:
o Study Abroad experience or international travel experience a plus
o Experience working with databases and spreadsheets a big plus

Compensation:
o Entry-level wage, 20 hours per week
o One hour of paid sick time earned for every 30 hours worked
