Safe Passage provides individualized support to address survivors’ holistic needs for safety and healing in the aftermath of domestic violence and relationship abuse. Programs include emergency shelter, trauma-informed counseling and support groups for survivors, families and children, community engagement and prevention, and individual and system advocacy.

Position Purpose
The Director of Finance and Administration is a senior leader at Safe Passage, responsible for leading, overseeing and implementing the financial and administrative processes and systems at Safe Passage. This position is also responsible for developing, adapting and implementing strong and sustainable financial and operational systems. As a member of the senior management team, this position will participate in the development and implementation of organization-wide policies and programs and strategies that will contribute to its overall success.

Reports to: Executive Director
Supervises: Bookkeeper/Accountant

Additionally, the Director of Finance and administration will oversee contractors and vendors in areas of Information Technology, Human Resources, and Facilities Management.
As the organization grows, this position may supervise additional staff members in the future.

Essential Responsibilities
Leadership
• Responsible for the fiscal health and accountability of organization
• Serves as member of Management Team
• Assesses and builds upon strength and capacity of fiscal and administrative functions in accordance with emerging trends, regulations, and organizational growth
• Serves on Finance Committee of Board of Directors and provides regular reporting to include responding to requests for reports and projections
• Leads development and preparation of annual organizational and program budgets
• Responsible for compliance with all legal and ethical regulations and best practices regarding financial management; recommends and implements procedural and policy changes as appropriate

Financial systems
• Assures all financial resources of Safe Passage are accounted for with accuracy and efficiency
• Responsible for bookkeeping system and all aspects of financial management to include bookkeeping, reconciliation, financial statements, financials transmittals, disbursements and banking relationships
• Manages all aspects of cash flow
• Develops and maintains vendor relationships, including purchases and services
• Oversees and manages payroll and associated documentation
• Manages bank accounts and investments and keeps accurate and current records of all financial transactions
• Submits accounting records for annual audit and for examination or audit at any time as directed by the Executive Director or Board

Governmental Contracts
• Manages subcontracts
• Manages contract compliance, including billing and expense tracking
• Works collaboratively with other staff to assure programmatic compliance

Human Resources
• Partners with the Deputy Director on full range of functions related to Human Resources
• Responsible for developing and administering employee benefits, to include health and dental insurance, FSA’s, retirement accounts, workers’ compensation, and paid and unpaid time-off tracking,
• Ensure compliance with required non-profit filings, applications, licenses, and reports

Facilities
• Oversee maintenance and repairs of Safe Passage administrative offices and program facilities
• Collaborate with program staff to oversee maintenance and repair of shelter
• Manage and maintain vendor contracts with building management vendors
• Maintain long term maintenance and repair needs for all Safe Passage facilities

Information technology
• Oversee work of external technology contractor
• Ensure that Safe Passages’ technology resources, including hardware, software, website, and email meet the organization’s needs and are updated as necessary
• Oversee purchasing and maintenance of all IT equipment
• Collaborate with other staff on programmatic implications of technology

Administration
• Provide input and leadership on protocols for a variety of administrative support functions to all other members of the organization, including office reception, purchasing, security, and file retention.
• Manage vendor relationships to the benefit of Safe Passage, including insurance agencies, office equipment leases, office cleaners, and facility rentals.

Required Qualifications
• Bachelors degree, CPA, MBA, or related degree a plus.
• 5-10 years of experience in managing financial accounting, reporting and control functions, and auditing processes
• Experience managing finances in a non-profit organization preferred
• Familiarity and experience with Quickbooks, or similar accounting software
• Familiarity with human resources benefit packages
• Familiarity with conceptualizing general IT functions, including networking, security, and equipment acquisition
• Strong manager and team leader; Ability to manage multiple projects and functions and prioritize goals; Ability to problem-solve both big picture and day-to-day issues
• Flexible and adaptive work style with the ability to thrive in an entrepreneurial style, fast-paced environment
• Excellent written and oral communication skills. Ability to communicate clearly and concisely to all relevant stakeholders to include management, board, donors, regulators, and auditors
• Understanding of domestic violence and sexual assault, social justice, and anti-oppression frameworks is a plus
• Excellent organizational and time management skills, computer literacy, attention to detail, judgment, and ability to prioritize and manage multiple tasks
• Professional demeanor and excellent leadership skills

Work Hours
This position is 35 hours per week, generally M-F, 9-5. Occasional evening and weekend commitments will be required.

Classification, Benefits, and Compensation: This is a regular, full-time, exempt position. We offer a comprehensive benefits package. Salary range will be $58,000 - $65,000. Starting salary will be competitive and based on experience and qualifications.
