Description: | Amherst College invites applications for the position of Financial Aid Assistant/Records. The Financial Aid Assistant is a full time, year round position (job group and level AO-3), and is the lead in importing financial aid records from external data providers, managing quality control for that data, troubleshooting as necessary, and monitoring and reviewing internal data imports to support processing of financial aid for applicants. The Financial Aid Assistant also serves as the lead in the application review for completeness and communication with first-year and transfer applicants. Responsibilities include maintaining a high standard of accuracy in importing and maintaining student records and tracking of financial aid application materials and follow up; and assisting in compliance with federal requirements for financial aid recipients.
The Assistant shares responsibility for front-line customer service (phone, email, and in-person) for all applicants, students, families and alumni at Amherst College, regarding the financial aid application process.
Takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.
Key Responsibilities
Financial Aid Record Processing
• Perform document and communication tracking of financial aid materials and correspondence
• Import financial aid applicant information from external data sources, including data and image files from CSS/Financial Aid Profiles, Noncustodial Profiles, Institutional Documentation (IDOC) Service, and U.S. Department of Education FAFSA data
• Electronically track all student financial aid application materials
• Quality check electronic files for financial aid applicants
• Review received documents to assess completeness and need for follow-up or requirement of additional documentation; annotate electronic records regarding submitted materials
• Maintain financial aid awards; review financial aid awards for completeness; record messages to accompany award letters and review for relevancy
• Prepare electronic records related to financial aid awards and send award communications through PowerFAIDS
• Assist in compliance with federal requirements for financial aid recipients including assisting in the review and follow up on federal financial aid recipient requirements (e.g, verification)
Financial Aid Front-Line
• Receive and respond to phone and email inquiries, and track associated documents
• Meet with students and families in-person to answer questions and advise on the financial aid application process, financing options and the appeal process |
Requirements: | QUALIFICATIONS
Required
• High school diploma or equivalent
• One to three years of related experience
• One to three years in a customer-focused environment
• Commitment to or experience working with a diverse community
• Demonstrated strong written and verbal communication skills
• Proficiency in MS Office and the ability to learn new software programs
• Excellent interpersonal, time management, organizational and customer service skills
• Ability to take initiative, and work independently and collaboratively
Preferred
• Associate's degree
• Fluency in a foreign language
• Experience working with and sensitivity to the needs of students from diverse and economically disadvantaged backgrounds
• Familiarity with financial aid management system, student information system and/or document imaging system
• Knowledge of financial aid regulations
